CONDITIONS FOR SELLER REGISTRATION (for TRAVEX Booth and Seller Delegate)

Please read carefully before filling the Registration Form


APPLICATION FOR TRAVEX BOOTH AND SELLER DELEGATES

1. The Travel Exchange (TRAVEX) will be held at IMPACT CHALLENGER 2, Muang Thong Thani, from 21-26
    January 2008 as part of the official programme of the ASEAN Tourism Forum 2008 to be held
    from 18-26 January 2008.

2. Participation as a seller in TRAVEX is open only to suppliers of ASEAN tourism products and services.

  • Seller representation will be restricted to ASEAN-based representatives.
  • Product exposure will be restricted to products and services located and operated within the ASEAN Region.

3.  A maximum of 2 (two) delegates are allowed in one booth, with one registered as Full delegate
     and the second registered as Co-delegate. Both are allowed to register any of Accompanying Persons,
     although such persons will not  be allowed access to the TRAVEX area.

4. Those who wish to participate in TRAVEX as Seller must:

  • Complete the Seller Registration Form
  • Complete the Seller Questionnaire Form
  • Submit the forms with required payment

    POSTMARKED NO LATER THAN 31 OCTOBER 2007 for inclusion in the appointment scheduling process.

5.  Booth sharing between two (2) or more different business organizations are not allowed.

7.  Payments can be made in the form of telegraphic transfer, bank draft, international money order or cashier's
     order/cheque. Payable in US Dollar must be issued by and/or drawn on an approved bank in Thailand only.

8.  On-site payment for Co-delegate and Accompanying Person shall only be made in
     cash in Thai Baht or US Dollar.     Late Registration Fee will also be charged for on-site payments.

BOOTH ALLOCATION

1.  TRAVEX Sellers will be assigned booths based on country groupings. 10% of total number of booths
     will be allocated to chain organizations for the purpose of corporate image projection.

2.  Booth allocation per country will be fairly spread out, as far as possible, for better distribution of representation      amongsectoral groups. Booth assignment will be confirmed on a first-come, first-served basis,
     subject to payment of   required fees.

3.  Booth assignment remain the prerogative of the Host Organizing Committee.

4.  Each seller organization is entitled to a maximum of one (1) booth each. The ATF 2008
     Organizing Committee may  accept application for a maximum of two (2) booths per organization.
     Confirmation of second booth will be subject to actual utilization of booth allocation by country as
     of registration deadline date, and shall be undertaken    at the discretion of     the Host Organizing Committee.

5.  Chain organizations with representatives from three (3) or more companies wanting to project
     a corporate image  may apply for a maximum of three (3) contiguous booths in the area specified
     for corporate property representation.

6.  For TRAVEX in ATF 2008 there will be a minimum of 450 booths for booking, distributed as follows:

  • Corporate Area 10 %
  • ASEAN NTOs & ASEAN Carriers 10 %
  • Thailand Area 50 %
  • Other ASEAN Countries 30 %

FEES OR CHARGES

1.  All fees are to be paid in US Dollar or Thai Baht.

2.  Registration payment must be in full, exclusive of any bank fees or charges
     involved which shall be for the account  of delegates.

3.   Bank draft, telegraphic transfer, international money order or cashier's order/cheque
      payable in US Dollar issued by  and/or drawn on an approved bank in Thailand only,
      must be made payable to :

4. TRAVEX registration fees for ATF 2008 are as follow:

5.  A late registration fee of US$ 130/4,810 Baht will be chargeable on each booth application
     and Full delegate registration fee     postmarked after 31 October 2007.
The following definitions of POSTMARKED deadline date will apply:

  • Stamped postage date issued by the registrant's national post office.
  • Date of release by the registrant's contracted courier service.
  • Date of remittance by the registrant's banking service.
  • Date and time posted in the website for on-line registration.
    (POSTMARKED BEFORE 31 July 2007)
6.   20 % discount (booth only) for Early Bird Registration.

CANCELLATION, SUBSTITUTIONS AND REFUNDS

1.  The ATF 2008 Secretariat must be notified in writing (fax or letter) of any cancellations
     or delegate substitutions.

2.  Cancellations for TRAVEX booths postmarked on or before 31 October 2007
     shall be granted a refund less  US$ 150 / 5,550 Baht.

3.  Cancellations for Seller delegates postmarked on or before 30 November 2007
     shall be granted a refund less US$ 70 / 2,590 Baht.

4.  No refund shall be made for cancellation postmarked after 31 October 2007 for
     TRAVEX booth or 30 November 2007 for Seller delegate as may be applicable.
     All refunds will be remitted only after the close of ATF 2008.

5.   An administrative fee of US$ 60 / 2,220 Baht will be levied for every substitution
     made on a Seller organization's Full    delegate or Co-delegate after the printing of the Directory of Sellers.

6.  Lost badge will be replaced after payment of an administrative fee of US$ 15 / 500 Baht.

ENTITLEMENT

1.  Only duly registered TRAVEX Buyers and Sellers are allowed to participate in TRAVEX.

2.  Admission to the TRAVEX area will be strictly on the basis of TRAVEX named badges.
     All Sellers and Buyers are required  to wear their badges at all times in the TRAVEX area.

ACCEPTANCE OF REGISTRATION

  This application shall serve as an agreement between the applicant's organization and the ATF 2008
Thailand Host Organizing Committee that the above terms and conditions have been read and understood
by the applicant. The ATF 2008 Thailand Host Organizing Committee reserves the right to reject any
application which is incomplete or do not comply with the above terms and conditions.
